The Preventive Care in Nursing and Midwifery Journal (PCNM), published by Zanjan University of Medical Sciences, is committed to protecting the privacy and personal information of its users, authors, reviewers, editors, and readers. We collect information that is essential for the operation of the peer-review and publication process. PCNM is a diamond/open platinum open-access journal; no fees are charged for submission or publication. Therefore, we never collect or process financial data.
  • For Authors: Name, institutional affiliation, email address, ORCID iD, postal address (for correspondence), and biographical statement.
  • For Reviewers: Name, institutional affiliation, email address, ORCID iD, and areas of expertise.
  • For Editors: Name, institutional affiliation, email address, ORCID iD, and biographical details.
  • For All Users: System data such as IP address, browser type, and pages visited (through cookies and server logs) for security, analytics, and improving the user experience. This data is aggregated and anonymized where possible.

Legal Basis and Purpose of Processing

We process your personal data based on the following legal grounds:
  • Contractual Necessity: Processing is required to perform the publication agreement with our authors (e.g., managing submissions, conducting peer review, publishing articles, and distributing the journal).
  • Legitimate Interests: Processing is necessary for our legitimate interests in maintaining the integrity of the scholarly record, preventing fraud, ensuring the security of our systems, and promoting published articles.
  • Consent: For specific, optional purposes beyond the core functions of publication, where we will explicitly request your consent (e.g., subscribing to a newsletter for table-of-contents alerts).

How We Use Your Information
Your data is used strictly for the purposes of operating the journal, including:
  • Managing the editorial and peer-review process.
  • Communicating with you about your submission, review, or editorial role.
  • Publishing your article, including displaying your name and affiliation as the author.
  • Administering the journal website and ensuring its technical functionality.
  • Informing you about news, updates, and new volumes of the journal (with an option to opt out).

Data Sharing and Disclosure
  • Published Articles: Author names, affiliations, and contact information (email) are published alongside the article and are publicly available.
  • Peer Review: To ensure a rigorous and fair peer-review process, we employ a double-anonymous peer review model. Reviewer names are kept confidential from authors, and author identities are kept confidential from reviewers. Reviewer names and reports are shared with the handling editor, other editors, and editorial assistants involved in the manuscript's decision process. However, reviewer names and reports may be shared with other editors and editorial assistants involved in handling the manuscript.
  • Service Providers: We may use third-party service providers (e.g., hosting providers, IT support, plagiarism detection services like iThenticate) who process data on our behalf under strict data processing and confidentiality agreements. They are not permitted to use your data for their own purposes. We follow COPE's advice on working with third-party vendors to ensure data privacy.
  • Academic and Legal Obligation: We may disclose your information if required to do so by law or if necessary to investigate, prevent, or take action regarding potential violations of our policies, suspected fraud, or situations involving potential threats to the safety of any person.

Data Retention

We retain personal data for as long as necessary to fulfill the purposes for which it was collected, including the perpetual maintenance of the scholarly record for published articles. Data associated with rejected manuscripts is typically retained for a period of three (3) years to handle any subsequent appeals or disputes and to protect the integrity of the journal against plagiarism or duplicate submission, after which it is securely deleted. This practice is informed by COPE's data protection and privacy guidelines.

Access the personal information we hold about you.
  • Rectification of any inaccurate or incomplete data.
  • Erasure ('right to be forgotten') of your data, subject to certain legal and overriding scholarly record-keeping obligations (e.g., we cannot delete information associated with a published article as it is part of the permanent scientific record).
  • Object to or restrict the processing of your data.
  • Data portability, where applicable.
  • Withdraw consent at any time, where processing was based on consent, without affecting the lawfulness of processing based on consent before its withdrawal.
